Email a Booking Link to Your Contacts

Email a TidyCal booking link straight to your contacts from inside TidyCal. Pick recipients, write a short message, and TidyCal sends it with your booking button attached.

Overview

Instead of copying your booking link and pasting it into your own email client, you can send it from TidyCal. The composer pulls from your existing Contacts, lets you add any other email address, and logs every send so you can see who you have already reached out to.

  • Available on all plans, including the Free Plan.
  • Emails are sent by TidyCal, and replies go to your email address.
  • Your booking link is added to the email automatically as a button, so it is there even if you edit the message text.
  • Every send is recorded on the Emails page under Direct sends.

Before You Start

  • At least one booking type to share.
  • A verified email address on your TidyCal account. If your email is not verified, TidyCal blocks the send and shows "Please verify your email address before emailing booking links."

How to Email a Booking Link

  1. Go to Booking types.
  2. On the booking type you want to share, click the Share icon.
  3. Choose Email from the menu. (The same menu also offers X (Twitter) and LinkedIn.)
  4. In the Share via email window, fill in the fields:
    • To: — the field reads Search contacts or type an email. Start typing to match your contacts by name or email, or enter any other address to add someone who is not a contact yet.
    • Subject: — prefilled with Book a time with me: [booking type name]. Edit it however you like.
    • Message: — prefilled with a short greeting. Your booking link is added automatically as a button below the message.
  5. Click Send. The button shows how many recipients you have selected, for example Send (3).

TidyCal confirms how many contacts it reached, for example "Sent to 3 contacts."

Team booking types: any member of the team can share a team booking type. The email still goes out with the sending member’s reply-to address and draws on their own contacts.

Sending Limits

These limits keep the feature from being used for bulk mail:

If a send would push you past the daily limit, TidyCal sends what it can and tells you how many were held back, for example "Sent to 20 contacts. 5 not sent because you’ve reached the daily limit of 100 emails. Try again tomorrow."

Where Your Sent Emails Are Logged

Go to Emails in the sidebar, then open the Direct sends tab. Each row shows the Recipient, Subject, Booking type, and when it was Sent.

The Contacts page also shows an Emails sent count on each contact, so you can see at a glance who you have already contacted.

Troubleshooting

"Please verify your email address before emailing booking links"

  • Your TidyCal account email has not been verified yet. Check your inbox for the verification email and confirm your address, then try again.

"This account is not permitted to email booking links"

  • The feature is restricted on accounts flagged for abuse. If you believe this is a mistake, contact support@tidycal.com.

Some recipients did not receive the email

  • Check the daily limit of 100 emails per account. TidyCal tells you how many were held back and you can send the rest the next day.
  • Confirm the addresses are correct on the Direct sends tab.
  • Ask recipients to check their spam folder.

"That doesn’t look like a valid email"

  • The address you typed into the To: field is not a valid email format. Correct it and press Enter to add it.

Frequently Asked Questions

Which plans include this?

All plans, including the Free Plan. There is no upgrade requirement.

Who do replies go to?

You. The email is delivered by TidyCal, but replies are addressed to your own email address.

Can I email someone who is not in my contacts?

Yes. Type any valid email address into the To: field and it will be added as a recipient.

The booking link is attached to the email as a button separately from your message text, so recipients can still book even if you rewrite the message.

Can I use this for email marketing campaigns?

No. It is designed for personal, one-to-one outreach and is capped at 50 recipients per send and 100 emails per day. For mailing lists, connect SendFox through Automations.
