How to Connect Zoom to TidyCal Booking Types

Connect Zoom in Integrations → Video conferences, set Zoom as a booking type's location, and TidyCal adds a Zoom meeting link to every new booking.

Overview

Automatic Zoom links need the Individual Plan, Pro or the Agency Plan. On the Free Plan, choose Custom video link as the location and paste your own Zoom link — the same link is then used for every booking.

Your Zoom, TidyCal and calendar accounts do not need to use the same email address. TidyCal creates meetings in the Zoom account you connect, and on a team booking type it uses the booking type owner's Zoom account.

Step 1: Connect Your Zoom Account

  1. Click Integrations in the sidebar, then Video conferences.
  2. Click Connect Zoom account and sign in to Zoom.
  3. Approve TidyCal's access in Zoom. If Zoom shows the option to let TidyCal use your shared access permissions (below), tick it before you approve.

When it works, the page shows Zoom connected as followed by your Zoom email, with a Disconnect button.

Step 2: Set Zoom as a Booking Type's Location

  1. Go to Booking types and click the booking type (or open its ⋮ menu and choose Edit).
  2. In the Basics section, find Location: and choose Zoom.
  3. Click Save at the top right.

If Zoom isn't connected yet, the editor shows Connect your Zoom account. under the dropdown — the link opens Video conferences so you can finish Step 1. Once Zoom is connected, it is the default location for new booking types.

On paid plans you can offer bookers a choice with Add another location; each video service can be added once per booking type. See How to Set Up Location Selections.

What Happens When Someone Books

  • TidyCal creates the Zoom meeting when the booking is made. The link goes out in the confirmation emails to you and your client, in the attached calendar invite, and in reminder emails.
  • On booking types that need your approval, the client receives the link once you approve the booking.
  • Group bookings and date polls share one Zoom meeting per time slot. Round robin bookings each get their own meeting.
  • Rescheduling moves the same Zoom meeting to the new time. Cancelling deletes the Zoom meeting, unless other attendees of a group booking still use it.

Troubleshooting

The editor shows "Connect your Zoom account."

  • Zoom isn't connected to your account, or the connection expired. Go to Integrations → Video conferences and click Connect Zoom account or Reconnect.
  • If Video conferences shows Zoom disconnected, your Zoom connection expired or was revoked, and TidyCal emails you when that happens. Click Reconnect. Bookings made while Zoom was disconnected have no link, so send those clients a link yourself.
  • If you removed TidyCal inside Zoom, the page shows Connect Zoom account again — connect it once more.

Attendees see "Wait for the host to let you in"

  • TidyCal doesn't change any Zoom meeting settings, so your Zoom account's waiting room settings apply. Change them in Zoom.

Zoom is missing from a second location row

  • Each video service can be added once per booking type. Use the existing Zoom row, or pick a different location for the second row.
