How do I reschedule a booking?
How to reschedule a TidyCal booking as a booker or a host, how to limit or turn off rescheduling, and what happens to emails, calendars and payments when a booking moves.
Overview
Bookers reschedule their own bookings from a link TidyCal gives them. Hosts use the same reschedule page, opened from the Bookings page. Either way, the booking moves to the new time, everyone is emailed, and the calendar event and video meeting follow.

A booking cannot be rescheduled once it has started, once it has been cancelled, or if its booking type has been deleted.
How a Booker Reschedules
Bookers can reach the reschedule page from:
- Their emails — the confirmation, reminder, reschedule and approval emails include a Reschedule or cancel link (or just Reschedule when cancelling is turned off). The link only appears while the booking can still be rescheduled.
- The confirmation page — each booked date has its own Reschedule button.
- The calendar event — for one-to-one booking types, the event includes a “Reschedule or cancel” link, unless you replaced the invite text with a custom calendar invitation. Group bookings and date polls do not get this link.
On the reschedule page, marked Rescheduling: above the booking type's name:
- Pick a new date and time.
- The name and email stay as they were booked and cannot be changed.
- Click Reschedule booking.
The page then shows Booking rescheduled! The session length stays the same, and there is no payment step — a paid booking keeps its original payment.
How a Host Reschedules
- Go to Bookings in the sidebar.
- Click the … (More options) menu on the booking, then click Reschedule.
- The booker's reschedule page opens in a new tab. Pick the new time and click Reschedule booking.
Your own booking notification emails also include a Reschedule or cancel link. For group bookings, open the booking and use Actions: → Reschedule next to the attendee you want to move.
Hosts follow the same rules as bookers. If rescheduling is turned off for the booking type, or the cutoff has passed, the link opens the booking's confirmation page instead — for you too. To move such a booking, change the booking type's rescheduling setting first, or cancel the booking and ask the booker to book again.
Limit or Turn Off Rescheduling
On Individual Lifetime, Pro and Agency Lifetime:
- Go to Booking types and open the booking type.
- Click Restrictions in the drawer sidebar.
- Turn off Allow rescheduling. to stop bookers rescheduling at all, or leave it on and set Allow rescheduling up to [number] [hours/days] before the booking. Leave the number empty to allow rescheduling any time before the booking starts.
- Click Save at the top of the drawer.
On the Free Plan, Allow rescheduling. is locked with a Pro badge and an Unlock reschedule controls by upgrading link. If you set a restriction while on a paid plan and later moved to Free, it no longer applies — rescheduling is always allowed on Free. See Booking Types for all restriction settings.
What Happens When a Booking Is Rescheduled
- Emails: the booker gets a “Booking rescheduled” email, and the host (every host, on a team booking type) gets a reschedule notification. CC recipients on the booking type are copied. Guests move with the booking and are emailed too.
- Calendar and video: the calendar event moves to the new time, and Zoom or Microsoft Teams meetings are moved or recreated.
- Reminders: email and SMS reminders follow the new time automatically.
- Payments: nothing is charged or refunded. A cancellation fee never applies to a reschedule (see How do refunds and cancellation fees work for paid bookings?).
- Booking types that need approval: the rescheduled booking goes back to awaiting approval. Its video meeting and calendar event are removed until you approve it again, and approval emails are sent instead of reschedule emails.
- Team booking types: TidyCal picks hosts again for the new time, so a round-robin booking can move to a different host.
- Group bookings: only that booker's place moves; the other attendees keep theirs.
- Packages and recurring bookings: each session is rescheduled on its own from the confirmation page. There is no option to move a whole series at once.
After rescheduling, the booking's page in TidyCal shows Previously rescheduled: with the old time struck through.
Troubleshooting
The reschedule link opens the confirmation page
- The booking can no longer be rescheduled: rescheduling is turned off for the booking type, the Allow rescheduling up to cutoff has passed, the booking has already started, or it was cancelled.
- This applies to hosts as well. Change the booking type's setting under Restrictions, or cancel and have the booker book again.
- Calendar events for one-to-one booking types always include the “Reschedule or cancel” link, even when rescheduling is turned off or the cutoff has passed — the link then opens the confirmation page.
“Sorry, this time is no longer available. Please select another one.”
- Someone else booked that time while the page was open, or it is no longer free. Pick another time.
“Rescheduling is no longer available for this booking.”
- The cutoff passed or rescheduling was turned off while the booker had the page open. The booking stays at its original time.
An imported Calendly booking won't reschedule

Frequently Asked Questions
Can I stop clients from rescheduling on the Free Plan?
No. Reschedule controls are included with Individual Lifetime, Pro and Agency Lifetime. On the Free Plan, bookers can always reschedule until the booking starts.
How do I stop last-minute reschedules?
Set Allow rescheduling up to [number] [hours/days] before the booking. under the booking type's Restrictions. After that point the reschedule link stops working.
Does the booker pay again when rescheduling a paid booking?
No. Rescheduling has no payment step, and nothing is charged or refunded.
Can I reschedule every session of a recurring booking at once?
