How do I import my bookings from Calendly?
Import your Calendly booking types, bookings and contacts into TidyCal, keep imported bookings in sync, and choose who sends reminders. Works on every TidyCal plan.
Overview
The Calendly import copies your Calendly event types, bookings and invitees into TidyCal. It only reads from Calendly — nothing on your Calendly account is changed. You choose what comes across, and you can run the import again at any time: anything already brought across is updated, never duplicated.

Prerequisites:
- A TidyCal account on any plan, including the Free Plan
- A Calendly account you can sign in to
Connect Your Calendly Account
- Go to Integrations in the sidebar and click Import from Calendly.
- Click Connect Calendly account.
- Sign in to Calendly and allow TidyCal access. You return to TidyCal with the message “Calendly has been integrated successfully”.
Once connected, the page shows Connected as your Calendly email, with Choose what to import and Disconnect buttons. Each TidyCal account connects to one Calendly account; connecting again replaces the previous connection.
Choose What to Import
Click Choose what to import. Under What would you like to import? TidyCal shows what it found in your Calendly account:
- Booking types (ticked) — “Availability and custom questions come across with them.” On your first import this stays ticked, because a booking needs a booking type to belong to. On later imports you can untick it to leave your booking types exactly as they are.
- Upcoming bookings (ticked) — invitee name, email, timezone, question answers, guests and meeting link.
- Past bookings (unticked) — imported as completed bookings, so your history and contact list stay intact. This is the slow part on a busy account.
- Cancelled bookings (unticked) — imported as cancelled, with the reason where Calendly recorded one. Bookings that were only moved are not treated as cancellations.
- Contacts — always included. Whoever booked, and any guests they brought, join your contact list. Anyone already in your contacts is matched by email address and left exactly as you have them.
Then set the sync and notification options (below) and click Start import. Leave Email me when the import finishes on to get an email titled “Your Calendly import has finished”.
Calendly limits how quickly TidyCal can read your data, so a large account takes a while. You can close the page and come back later.

Your booking links change. Imported booking types get their own TidyCal URLs, which are not the same as your Calendly links. Update any links on your website or email signature once you switch over.
Importing again never overwrites a booking type you have already imported, and never brings back one you deleted in TidyCal.
Keep Imported Bookings in Sync
Under Keep this connection in sync, turn on Follow changes made on Calendly if people will keep booking, rescheduling or cancelling through Calendly while you switch over. It is off by default.
- TidyCal checks Calendly about every 15 minutes and updates to match.
- It covers bookings in the next 365 days: reschedules and cancellations made on Calendly are applied, and new bookings made on Calendly are imported too.
- New Calendly event types are not picked up by the sync. Run the import again with Booking types ticked to bring them across.
- TidyCal never changes anything on Calendly.
Bookings marked “Lives on Calendly”
While sync is on, upcoming imported bookings show a Lives on Calendly label on the Bookings page. Those bookings are rescheduled or cancelled on Calendly, not in TidyCal:
- The booking's page shows Reschedule on Calendly and Cancel on Calendly. These are the invitee's own Calendly links, so you can forward them. Opening one while signed in to Calendly as the host may take you to your Calendly Meetings list instead.
- If a booker uses a TidyCal reschedule link for one of these bookings, they are sent to their Calendly reschedule page.
With sync off, imported bookings are managed in TidyCal like any other booking.
Move a booking off Calendly
To manage one imported booking in TidyCal instead, open it, expand No longer using Calendly? and click Manage in TidyCal instead. You can then reschedule or cancel it in TidyCal, and TidyCal stops following changes to it on Calendly. Calendly still holds the meeting and will keep emailing everyone about it, so cancel it on Calendly too.
Reminders and Notices for Imported Bookings
Under Notifications for imported bookings, three switches decide whether TidyCal emails people about imported bookings. All three are off by default, because Calendly keeps emailing your invitees until you turn its own notifications off.
- Send reminders — TidyCal sends its reminder emails before imported bookings, the same as for bookings made in TidyCal. Imported booking types without reminders get a 24-hour email reminder.
- Send reschedule notices — emails the host and the invitee when an imported booking moves.
- Send cancellation notices — emails the host and the invitee when an imported booking is cancelled.
Reschedule and cancellation notices also need Follow changes made on Calendly switched on. Turn Calendly's own reminders off first — if both are on, your invitees get two of everything.
To change these switches later, open Choose what to import again, change them and click Start import. Running the import again is safe.
Disconnect Calendly
Click Disconnect on the Import page. TidyCal removes its access to your Calendly account and stops syncing. Everything already imported stays in TidyCal, and imported bookings are then managed in TidyCal like any other booking.
Troubleshooting
“That Calendly connection attempt could not be verified”
- The sign-in with Calendly did not finish cleanly. Go back to Integrations → Import from Calendly and click Connect Calendly account again.
The import is taking a long time
- Calendly limits how quickly its data can be read, so accounts with many bookings take a while — past bookings are the slowest part. You can close the page; with Email me when the import finishes on, you get an email when it is done.
- “An import is already running.” means an earlier import has not finished yet. Wait for it before starting another.
- If an import stops early, anything already brought across is kept. Start the import again to continue.
I can't reschedule or cancel an imported booking in TidyCal
- The booking is marked Lives on Calendly because sync is on. Change it on Calendly, or use Manage in TidyCal instead to take it over (see Move a booking off Calendly).
My imported bookings aren't getting TidyCal reminders
- Reminders for imported bookings are off by default. Turn on Send reminders under Notifications for imported bookings, then click Start import. Turn Calendly's reminders off first.
- If it still does not work, contact TidyCal support.
Frequently Asked Questions
Which TidyCal plans can import from Calendly?
All of them, including the Free Plan. Some imported settings may use features that need a paid TidyCal plan — see What is TidyCal? for the plan comparison.
Does importing change anything on Calendly?
No. TidyCal only reads from Calendly. Your event types and bookings stay exactly as they are there until you change or cancel them yourself.
Can I run the import more than once?
Yes. Anything already brought across is updated, never duplicated. Re-importing does not overwrite booking types you have already imported or bring back ones you deleted.
