Group bookings: run a class, workshop or office hours

Run a class, workshop or office hours with group bookings: let several people book the same time slot from Booking types. Group bookings are free on every plan.

Overview

A group booking is a time slot that more than one person can book. Each person books separately, and the slot stays open until every seat is taken. It suits classes, workshops, webinars and office hours. Group bookings are available on every plan: Free Plan, Individual Lifetime, Agency Lifetime and Pro.

Group bookings are different from guest invites, where one booker brings other people along on a single booking. Setting a limit on how many bookings you accept per day, week or month is a separate paid feature; see How to Set Booking Limits.

Create a Group Booking Type

  1. Go to Booking types in the sidebar and click the arrow next to New booking type.
  2. Choose Group (“Several people book the same time”). It starts with 10 seats and a 60-minute duration.
  3. Set the title, availability and location, then save. You can change the number of seats later under Advanced → Groups & Guests.

A group booking type shows a seats badge (for example, “10 seats”) on its card on the Booking types page.

What Bookers See

  • Each attendee picks the slot and books on their own, and receives their own confirmation email from TidyCal.
  • With Show remaining seats to bookers on, the booking page shows Seats left: for each time.
  • Once every seat in a slot is taken, that time is no longer offered.
  • If no time at all is bookable in your booking window, bookers see the waitlist form instead (unless you switched the waitlist off).
  • On a paid booking type, each attendee pays separately when they book.
  • With Zoom, all attendees of one slot share one Zoom meeting.

Manage a Group Slot in Bookings

On the Bookings page, a slot with two or more bookings appears as one group card. Open the card's More options menu to use these actions for the whole slot:

  • Copy all emails — copies the email address of every attendee in the slot whose booking is not cancelled. It appears when the slot has more than one address.
  • Reschedule all bookings — moves the whole group to a new time (see below).
  • Cancel all N bookings — cancels every booking in the slot after you confirm. Check it carefully, as it affects every attendee.

A slot with only one booking shows the ordinary single-booking menu. To move just one attendee, open the group card and use Reschedule on that person's row; the others keep their place.

Reschedule the Whole Group

  1. On the group card, open More options and click Reschedule all bookings.
  2. Pick a new Date and Time.
  3. Click Reschedule and notify everyone.

Every active attendee, including guests, moves to the new time and receives a reschedule email. Cancelled bookings stay unchanged. If the new time is outside your availability, you are warned and can confirm with Move all N attendees anyway, even if this time is unavailable., then click Move and notify everyone. For how attendees can reschedule themselves, see How do I reschedule a booking?

Troubleshooting

A time slot has disappeared from my booking page

  • Every seat in that slot is taken, so it is no longer offered. Raise Max attendees per slot: in Advanced → Groups & Guests to open more seats.

I don't see Reschedule all bookings

  • The group card and its menu only appear when the slot has two or more bookings.
  • The option is offered only for upcoming slots. It is not offered for past or cancelled slots, round robin slots, or slots managed on Calendly.

I don't see Copy all emails

  • The option appears only when the slot has more than one attendee email address that is not cancelled.

Frequently Asked Questions

Are group bookings available on the Free Plan?

Yes. Group bookings are included on every plan. Booking limits are the exception and stay on paid plans; see the plan comparison.

What is the difference between group bookings and guest invites?

With group bookings, separate people each book the same slot and get their own confirmation. With guest invites, one booker adds other people to their own booking.

Can I move one attendee without moving the group?

Yes. Use Reschedule on that attendee's row in the group card. Reschedule all bookings moves everyone in the slot.

What happens when a slot is full?

That time stops being offered. If every time in your booking window is full, bookers see the waitlist form instead.
