How to Customize Email Reminder Timing and Content

TidyCal allows you to customize when email reminders are sent and what they contain. By default, TidyCal sends two reminders: 24 hours and 1 hour before each booking.

Plan Requirement: Custom email reminders are available on the Individual Plan or Agency Plan.

What Are Email Reminders?

Email reminders are automatic notifications sent to attendees before their scheduled bookings. They help reduce no-shows and ensure attendees are prepared.

Default Behavior: TidyCal sends reminders 24 hours and 1 hour before each booking.

Custom Behavior: Set any number of reminders at any interval, customize subject lines and HTML content.

Customizing Reminder Timing

Common reminder timings (in minutes before booking):

  • 1 week before: 10,080 minutes
  • 3 days before: 4,320 minutes
  • 1 day before: 1,440 minutes
  • 2 hours before: 120 minutes
  • 1 hour before: 60 minutes
  • 15 minutes before: 15 minutes

Template Variables

Email reminders support the same template variables as confirmation emails:

  • {{contact.name}} - Attendee's name
  • {{host.name}} - Your name
  • {{booking_type.title}} - Booking type name
  • {{booking.date}}, {{booking.time}}, {{booking.timezone}}
  • {{booking.meeting_url}}, {{booking.reschedule_url}}

Best Practices

  • Don't over-remind: 2-3 reminders maximum
  • Space reminders appropriately
  • Tailor content to timing: early reminders include preparation, final reminders focus on join link
  • Include action items in early reminders
