Team Member Management in TidyCal

Effectively manage your team members, roles, and permissions to create a collaborative scheduling environment. Learn how to add members, assign roles, and maintain proper access control for your TidyCal teams.

Understanding Team Roles

TidyCal uses a three-tier role system to control team member permissions:

Owner Role

The team creator automatically becomes the Owner with full permissions:

  • Full team management - Edit all team settings and branding
  • Member management - Add, remove, and change roles of team members
  • Booking type control - Create, edit, and delete team booking types
  • Team deletion - Only Owners can permanently delete teams
  • Billing access - Manage team-related billing and subscriptions

Note: Each team can only have one Owner, and ownership cannot be transferred.

Admin Role

Admins have extensive permissions but with some restrictions:

  • Team settings - Edit team name, description, and branding
  • Member invitations - Invite new team members
  • Booking management - Create and manage team booking types
  • Limited member control - Cannot remove the Owner or change Owner permissions

User Role

Standard team members with basic access:

  • View team information - See team details and member list
  • Participate in bookings - Be included in collective meetings and round robin scheduling
  • Manage own calendar - Connect and manage personal calendar integrations
  • Limited editing - Cannot modify team settings or manage other members

Adding Team Members

Follow these steps to invite new members to your team:

  1. Navigate to your team dashboard
  2. Click Edit on your team
  3. Scroll to the Members section
  4. Click + Add member
  5. Enter the member details:
    • Email Address: The person's email address (required)
    • Role: Select Owner, Admin, or User role
  6. Click Save changes to send the invitation

Invitation Process

When you add a team member:

  1. Email invitation sent - The person receives an automated invitation email
  2. Pending status - They appear as "Pending" in your team member list
  3. Account setup - If they don't have a TidyCal account, they'll be prompted to create one
  4. Acceptance - Once accepted, they become an active team member

Important: Invited members must accept the invitation to become active team members.

Managing Existing Members

Changing Member Roles

To modify a team member's role:

  1. Go to your team edit page
  2. Find the member in the Members section
  3. Click on their current role dropdown
  4. Select the new role
  5. Save your changes

Role Change Restrictions:

  • Only Owners can change other members' roles
  • Admins cannot modify the Owner's role
  • Users cannot change anyone's role

Removing Team Members

To remove someone from your team:

  1. Navigate to the team edit page
  2. Find the member you want to remove
  3. Click the Remove button next to their name
  4. Confirm the removal when prompted

Important Considerations:

  • Removed members lose access to all team booking types
  • Their individual booking types remain unaffected
  • Past bookings and scheduling history are preserved
  • The Owner cannot be removed (team must be deleted instead)

Troubleshooting Common Issues

Q: A team member says they never received the invitation email?

A: Check their spam folder first, then use the "Resend invitation" button. Ensure the email address is correct.

Q: Can I change the team Owner?

A: No, team ownership cannot be transferred. If needed, create a new team with the desired Owner.

Q: What happens if I remove someone from a team?

A: They lose access to team features but retain their individual TidyCal account and booking types.

Q: Can someone be on multiple teams?

A: Yes, users can be members of multiple teams with different roles in each.
