Team scheduling in TidyCal (Agency Plan) combines four signals per host to decide whether a slot is bookable:
- The host's Default Availability schedule, evaluated in their own timezone. (The plan owner is an exception — see note below.)
- Busy events on the host's connected calendars (Google, Microsoft, Apple) with reading enabled.
- The host's existing TidyCal bookings from other booking types they own or are a host on.
- The booking type's own schedule and restrictions (notice period, padding, booking limits) — applied uniformly for all hosts.
How slots merge
- Collective: a slot is shown only when every assigned host is free on all four signals (the intersection).
- Round Robin: a slot is shown when at least one assigned host is free (the union). The booking is then assigned to one free host based on priority (Highest priority first; ties broken randomly).
Important nuances
- Plan owner: if the plan owner is a host on the team booking type, their Default Availability is not re-applied separately — the booking type's own schedule already represents their availability.
- Ignore external calendar conflicts: if this toggle is enabled on the booking type, TidyCal skips calendar Busy events and skips cross-booking-type conflicts when computing availability — only existing bookings on this booking type block slots.
- Hosts must have TidyCal accounts: each team member needs their own TidyCal account (they remain on Free by default; paid features on your Agency Plan don't extend to them automatically).
- Premium features (custom email reminders, SMS, CC on notifications, custom reply-to) are per-account — invited hosts keep their own account tier.
